Payroll Hero prepares IRD employment information (EI) and employee details (ED) files. Exporting or marking a pay run as filed in Payroll Hero does not, by itself, transmit a return to Inland Revenue. Upload your files in myIR and check the submission result.
From pay run to filing.
Prepare and review
Check employee details, hours, earnings, deductions and the payday. Review your employer IRD number and payroll contact details. Resolve validation issues before exporting.
Export the right file
Download the employment information CSV for the pay run. Use employee details exports when reporting new employees, changes or departures, as appropriate to IRD’s requirements.
Upload in myIR
Sign in to your employer payroll account in myIR, upload the required file and review the result. Correct rejected information and resubmit where needed.
Keep the confirmation
Check that Inland Revenue accepted the information. Keep the file and submission confirmation with your payroll records, and update your internal filing record.
When do you need to file?
Generally, this is the deadline when filing employment information electronically.
Filing follows the date employees are paid, rather than the last day of the pay period. The payday and pay period dates should both be checked.
Different arrangements may apply to non-standard payments and some types of employment. Check the current Inland Revenue guidance for your situation.
Your pre-filing checklist.
- Employer and employee IRD numbers and tax details are correct.
- The payday, pay period, earnings and deductions have been reviewed.
- New and departing employee information has been reported when required.
- You are uploading the correct file for the correct pay run.
- You have checked the myIR result, including any warnings or rejections.
Filing is separate from payment.
Submitting employment information does not pay your PAYE or other deductions. Manage payment to Inland Revenue separately and check the payment due dates that apply to your employer account.
